You are invited to participate in our Company Vehicle Survey. In this survey, approximately 200 sales employees will be asked to complete a survey that asks questions about the current car allowance program and possible company car program. It will take approximately 5 to 10 minutes to complete the questionnaire.
1st Option (Current Car Allowance) the employee would be responsible to purchase and maintain their own vehicle where the Company would offer a variable reimbursement rate determined based on the IRS recommended cents per mile.
■ Company will reimburse employees for the mileage they have driven for business use of your personal vehicle. ■ Sales associates are responsible to fill out a mileage expense report to receive their car allowance. ■ Receive a minimum of $230.00 per pay period ($5,980 per year). ■ If you drive or do not drive, sales employees will receive a car allowance of $230.00 - If an employee doesn’t drive, the $230.00 will be taxable - If an employee drives, the $230.00 will be non-taxable - mileage will be paid out at $0.50 per mile (reimbursement is based on 2010 IRS Standard Mileage Rates) ■ Hawaii Branch sales employees will receive a flat rate of $300.00 (taxable) per pay period for their car allowance. ■ Standard mileage rate includes fixed and variable cost (i.e. depreciation, maintenance and repairs, tires, insurance, and ■ license registration fees), therefore all employee’s receiving a car allowance must have the company’s minimum insurance coverage. Bodily Injury of $100,000 per person / $300,000 per occurrence and Property Damage of $50,000. ■ Example of Car Allowance payout: If a sales employee drives 700 miles per pay period. They would drive 18,200 miles per year (700 miles x 26 pay period). Their car allowance for the year would be $9,100 per year (18,200 miles x $0.50 per mile) Gas Reimbursement: $2,730 (18,200 miles per year x $0.15 per mile*) * Based on 20 miles per gallon. $3.00 per gallon divided by 20 gallons equals $0.15 per mile Depreciation, maintenance/ repairs, tires, insurance, and license registration: $6,370 ($9,100 - $2,730)
2nd Option (Company Car) Provide a company vehicle where related expenses would be covered by Company.
■ Acquisition, maintenance, insurance and fuel will be covered by the Company. ■ Employees will be responsible to pay a monthly contribution of $100 to pay for personal use which covers gas, insurance and vehicle use (for example commute from home to work and weekend use). In addition, the $100 contribution may be more depending on employee’s current driving records. The contribution amount will be re-evaluated each year and may change at the company’s discretion. Since the Company will pay for the auto insurance, if any employee receives a ticket or accident which causes the insurance premium to increase, their monthly contribution will increase accordingly. ■ If employee elects to use the company vehicle, they must use the vehicle for the vehicle’s life cycle (2-3 years depending on mileage). ■ Employees that opt to use the company vehicle will no longer receive the car allowance. ■ Company will have a pre-determined list of vehicles. The Company will choose which type of vehicle. ■ Any employee whose driver’s license is suspended will loose their privilege in using the company vehicle. ■ All company vehicles will be equipped with a Global Positing System (GPS)
